About KPA
The Kenya Pharmaceutical Association (KPA) is the statutory professional body representing pharmaceutical technologists in Kenya. We are committed to promoting professional excellence, safeguarding member welfare, and advancing quality pharmaceutical services to the public.
To strengthen our financial management systems and ensure compliance with donor and internal controls, KPA seeks to recruit a Finance Officer to be based at the National Executive Council (NEC) Secretariat in Nairobi.
The Finance Officer will operate under a dual reporting structure:
- Primary reporting line: Secretary General (overall supervision, accountability, and administrative oversight)
- Functional reporting line: Respective Branch Secretaries (branch-specific financial responsibilities and operational needs)
Job Type: Contract (1-year, renewable based on performance and funding)

Key Responsibilities
Financial Management & Compliance
- Maintain accurate, up-to-date financial records for KPA’s national and branch operations.
- Ensure compliance with KPA policies, donor regulations, government tax laws, and statutory requirements.
- Lead budgeting processes, including preparation, review, and expenditure monitoring.
- Implement and enforce internal controls to safeguard KPA resources.
- Ensure KPA’s financial systems and records are audit-ready at all times.
Project Finance Oversight
- Manage financial operations for OPC, OCA, and other funded projects.
- Monitor project budgets, track expenditures, and prepare financial status reports.
- Ensure all project transactions meet donor compliance requirements.
Reporting & Documentation
- Prepare monthly, quarterly, and annual financial reports.
- Maintain organized, audit-ready documentation.
- Provide consolidated reports to support decision-making and donor accountability.
Capacity Building & Branch Support
- Train and mentor branch treasurers and finance focal persons.
- Standardize financial processes and reporting tools across branches.
- Develop training materials and conduct capacity assessments.
Cross-Support & Secretariat Integration
- Provide financial coordination across all KPA activities.
- Support multi-project financial oversight and synergy between branch and national operations.

Qualifications
- Bachelor’s degree in Accounting, Finance, or related field; CPA/ACCA preferred.
- Minimum 3 years’ experience in financial management within NGOs, membership associations, or donor-funded projects.
- Strong knowledge of donor compliance, budgeting, internal controls, and audit processes.
- Proficiency in QuickBooks, Excel, and Microsoft Office (ERP knowledge an advantage).
- Knowledge of Kenyan financial laws, including tax, payroll, and statutory reporting.
- Excellent interpersonal, training, and communication skills.
- High ethical standards, integrity, and professionalism.
